Print Devices: add network print devices (Mac and Windows)


Setting up a print device for Windows users

  1. Click the Start button
  2. In the Search box, you have to type the following without the quotes "\\name-of-print-server"
  3. Press Enter 
  4. Allow the window to appear showing you the printers on the print server
  5. Look in the list for the printer of choice
  6. Double-click on the printer
  7. Allow the print drivers to load the printer
  8. Send a print job to the print device

Setting up a network print device on a Mac using smb protocol

  1. Open System Preferences
  2. Click “Printers & Scanners”
  3. Click the (+) on the bottom left to add a printer
  4. A new window will appear.  “Right click” the toolbar at the top
  5. Select “Customize Toolbar...”
  6. Drag the "Advanced" icon into the toolbar to the right of the Windows icon 
  7. Click Done.
  8. Click Advanced.
  9. From the “Type” drop-down menu, select “Windows printer via spools”
  10. Using the following format (smb://name-of-print-server/name-of-print-device) in the URL field, enter the Server and Share Name of the desired network print device
  11. Fill in the Name and Location fields with appropriate information (e.g., Marketing 20th Fl.)
  12. Where it says, "Use" click on "Select Software"
  13. Search for your print software driver.  If it does not appear, click Cancel, and then choose "Generic PCL Printer"
  14. Click Add
  15. Allow the print device to install.
  16. After the correct software is selected, click “Okay” and then “Add” and then “Okay.”

Printing from a Mac using lpd protocol

  1. Open System Preferences
  2. Click “Printers & Scanners”
  3. Click the (+) on the bottom left to add a printer
  4. A new window will appear.  “Right click” the toolbar at the top
  5. Select “Customize Toolbar...”
  6. Drag the "Advanced" icon into the toolbar to the right of the Windows icon 
  7. Click Done.
  8. Click Advanced.
  9. Where it says, "Type" select "LPD/LPR Host or Printer" from the drop-down menu
  10. Where it says, "URL" enter this information in the URL field "lpd://enter-the-IP-address of the print device you want to use. 
  11. Fill in the Name and Location fields with appropriate information, (e.g., Marketing 20th Fl.)
  12. Where it says, "Use" click on "Select Software"
  13. Search for your print software driver.  If it does not appear, click Cancel, and then choose "Generic PCL Printer"
  14. Click Add
  15. Allow the printer to install
  16. After the correct software is selected, click “Okay” and then “Add” and then “Okay.”
